Quick answer: An invoice checklist is most useful just before sending, when errors are still inexpensive to correct. Use it to check identity, scope, arithmetic and payment instructions.

Try it: Open the free BuzBolt Invoice Generator. No signup is required.

Understand the method

Verify the customer’s billing name, the project reference and the exact agreed price. Make sure the subtotal follows from the line items and the total follows from subtotal, discounts and applicable tax.

Confirm the invoice date, service period or supply date, due date and bank or payment instructions. Check that the currency is explicit and consistent throughout the document.

Worked example

For 2 design revisions at $90 each and a fixed setup fee of $120, subtotal is $300 before applicable tax or discounts. Recalculate the PDF rather than trusting a copied total.

What people often get wrong

A beautiful invoice with the wrong customer entity can be rejected. Missing purchase-order numbers also slow processing in some organisations.

A practical way to use this

Read the PDF as though you were the customer’s accounts-payable reviewer: can you tell what was supplied and what action is required?

Frequently asked question

Should you attach a timesheet? If the contract or client requires evidence for hourly work, include an appropriate record.

Separate identifying details from payment details

A useful layout divides information into sections: From, Bill to, Invoice details, Items and totals, and Payment information. Readers can then find what they need without searching a paragraph. The labels should be visible even on a small screen or printed page.

Apply it to your own task

Do not include sensitive personal details simply because a template has room for them. Only add information that is relevant to the transaction or genuinely needed for payment and business records.
